- Assess the Needs of the Audience.
To select the best motivational speaker, keynote speaker or lecturer, you must understand the needs of your audience. Ask yourself "what do I want the audience to be thinking (or feeling) when the speaker is finished?" Are you looking for a speaker for one event or for a facilitator to work with your company after the first presentation?
Which Type of Speaker will Suit Your Audience's Needs?
Select a speaker who specializes in the topic you are seeking to present. Remember that high prices and big names don't always guarantee meaningful presentations.
When is Your Event? How Much Do You Want to Spend?
Try to book your speaker as soon as the date for the meeting is set and many presenters run out of dates a year in advance. Determine the timing and duration of the presentation. Establish a budget for the presentation. With these guidelines, a speaker can work to customize the presentation to your requirements.
Don't Pick the First Candidate
Unless you have previous experience with this speaker and time permitting, it is often good practice to interview a number of candidates, and have them learn about your organization and the needs for the presentation. As well, the interview process will allow you to evaluate the speaker's qualifications, manner, subject material etc. The speaker is the most important ingredient in a successful meeting. This candidate will be a partner in the message you are seeking to deliver to the audience. Make sure they have what it takes.
Pick a Professional...and Relax
Well not entirely, but you can rest assured that a professional speaker has the expertise and knowledge that your organization is looking for. If you are looking for topic customization, determine the cost of the speaker's research and design; add this to your budget.
Make Sure You have a Letter of Agreement
For the protection of both parties, a letter of agreement or contract should outline the expectations and obligations of your organization and the speaker you select. This document should include, travel arrangements and transportation, meals and accommodations, payment terms, reimbursements, audio-visual requirements and cancellation policies.
Work Closely with Your Speaker
When you finally select a speaker, be prepared to share information about organization. Since every presentation requires customization, this process will help the speaker become familiar with your group or company. Make sure the speaker has all corporate materials such as newsletters, list of key people etc. Remember to be clear and honest about your expectations. If you aren't, you cannot expect the speaker to fulfill them. If other speakers will be presenting, let your speaker know their content to avoid duplication.
Give Yourself Time to Prepare the Room
Work with your speaker to make sure the presentation room is property set up. Consider seating arrangement, lighting requirements, special equipment and timing.
It Doesn't End with the Presentation!
Even though the speaker may appear to have done a great job, be prepared to complete an audience evaluation on both the speaker and the topic/content of the presentation. This stage will not only help you evaluate one particular address, but give you feedback for future consideration. Think about whether you received value for what you paid. Evaluate questions that were raised by the audience. Did the presenter have a good grasp of their needs? Consider whether this speaker can be integrated into other workshops or organizational activities.
